Choose the Right Chargeback Argument with a Claim-to-Evidence Matrix

Choose the chargeback argument by matching the allegation to the fact that would answer it. Then identify the record that establishes that fact. A claim-to-evidence matrix prevents a familiar but irrelevant artifact from becoming the center of the response.
First confirm that the case has an available response route. Then use the actual issuer allegation and network condition where supplied. A broad platform label can help organize the work, but it may not reveal the precise factual question the issuer is asking.
Turn the allegation into answerable questions
Break the claim into its material components: what allegedly happened, which item or payment it concerns, when it happened and what amount is contested. Preserve qualifications. “One item was missing” is different from “the order never arrived.”
For each component, write the fact that would support or contradict it. Avoid beginning with “we have tracking” or “the AVS matched.” Those are available records, not necessarily answers to the claim.
Some allegations require several facts. A cancellation dispute might depend on the request date, the applicable agreement and the timing of the disputed charge. A single usage event may provide context without answering whether billing should have stopped.

Separate decisive evidence from context
Classify each candidate exhibit as direct support, contextual support, contradictory evidence or unavailable evidence. This is an internal assessment, not a score assigned to impress the reviewer.
Direct support records the relevant fact with adequate transaction linkage. Context helps explain the situation but leaves a material step unproved. Contradictory evidence undermines the proposed assertion and must be addressed. An unavailable record means the branch cannot rely on that proof.
Do not assume that several contextual records equal one decisive record. An invoice, an order confirmation and a payment receipt can all describe the same purchase without establishing delivery. Their quantity does not repair the missing fact.

Use a reusable matrix

Add a source owner and unresolved question when further work is required. Keep the matrix short enough to serve as a decision aid. It should expose missing links, not become another large packet that needs its own explanation.
Use precise verbs in the “fact needed” column. “Prove legitimacy” is too broad. “Establish that the identified accessory was included in the separately tracked shipment” is a question the evidence team can investigate.
A hypothetical partial-delivery case
A hypothetical customer disputes a bundle because a replacement filter was missing. The merchant has a carrier delivery scan for the bundle and a signed receipt for the main appliance. The first draft argues that the entire claim is invalid because the parcel arrived.
The matrix reveals the gap. The delivery scan directly supports arrival of a parcel. It does not establish the parcel’s contents. The signed receipt identifies the appliance, not the filter. An order-specific packing record might answer the missing-component allegation, but none is currently available.
The merchant then finds a separate fulfillment record showing that the filter was sent later. That changes the analysis again: the question becomes whether the separately shipped filter was supplied within the relevant circumstances, not whether the original parcel arrived.
A better response acknowledges the separate shipment and cites the records that actually concern the filter. If those records do not establish receipt, the merchant must not recycle the appliance delivery evidence as proof of the missing accessory.
Choose the supported branch and remove the rest
After completing the matrix, identify the strongest permitted argument supported by available evidence. Remove branches that depend on speculation or facts contradicted by the source records. Where a material uncertainty remains, state it internally and narrow the response accordingly.
Do not use the matrix to hide unfavorable evidence. Its value is that it forces the merchant to confront the actual question. An honest assessment can reveal that the customer’s complaint is valid or that the available response cannot establish the merchant’s position.
Before submission, give the matrix and proposed statement to another reviewer. Ask them to identify the exact record supporting each decisive sentence. If a citation leads only to context, revise the sentence or recover the missing proof.
The finished response should reflect the matrix’s logic without necessarily including the entire internal worksheet. The issuer needs a clear argument and relevant exhibits. The merchant needs the matrix to ensure that the argument was selected because the evidence answers the claim, rather than because the same packet was convenient to reuse.
