Dispute reason responses
A Shopify Dispute Is Labeled General: How to Find the Actual Claim

A general dispute label is a starting point for investigation, not a complete allegation. Read the available issuer statement, transaction details, and customer history to identify the specific fact being challenged. Then build a response around that fact rather than submitting every document associated with the order.
The claim might concern an amount, currency, processing event, or another issue the provider groups broadly. Do not assume general means the customer gave no reason or that the case is easier to contest. The label may simply summarize more detailed information elsewhere in the case record.
Read the underlying claim before selecting evidence
Look for the issuer narrative, customer statement, attached document, and any provider description of the underlying condition. Extract the alleged problem in neutral language. If the record says the amount differs from what was accepted, the response should investigate that difference, not default to proof of delivery.
Shopify includes a general dispute category. Shopify dispute reasons.
Separate the customer’s allegation from the merchant’s theory about why it happened. “Customer disputes an additional charge” is an allegation. “Customer forgot buying an add-on” is a hypothesis until records support it. Start with the former and test the latter.
If the available information is incomplete, identify precisely what is missing. The merchant might need the challenged transaction, disputed amount, underlying condition, or customer statement. Ask the provider for that information through the actual support route while keeping the live case timing visible.
Turn the label into answerable factual questions
Break a broad complaint into questions that records can answer. What amount was accepted? Which currency was submitted? Which item was not delivered? What credit was promised? The right question determines the relevant documents and the merchant’s possible position.
Stripe also groups varied conditions into broader categories. Stripe dispute categories.
That provider-specific example illustrates why a category name is not a substitute for the underlying claim. It does not mean a Shopify case should be handled through Stripe or that the same label has identical meaning across processors.
Compare the question with the order and payment records. If the alleged issue cannot be matched to the challenged transaction, resolve the identifier gap first. A coherent narrative about the wrong payment is still the wrong response.
Do not try to reclassify the case informally to obtain a more favorable standard. Use the actual provider’s route for clarification or correction if the label or transaction appears wrong. The merchant should accurately answer the claim it has received.
Use a claim-definition worksheet
The following reusable worksheet turns an ambiguous case into a focused evidence request.
| Field | What to write |
|---|---|
| Provider label | Exact label as displayed |
| Underlying statement | Neutral summary of the available allegation |
| Challenged payment | Transaction reference, amount, and currency |
| Disputed fact | One answerable question |
| Evidence that could answer it | Specific record and source |
| Missing information | Exact clarification needed from provider or internal team |
| Merchant position | Supported, unsupported, or awaiting a named fact |
In a hypothetical case, the general label accompanies a statement that the customer accepted a 70-unit purchase but was charged 90. The merchant discovers a later 20-unit order addition. The relevant question is whether the customer approved that addition. Delivery tracking for the original goods does not answer it.
In another hypothetical case, the statement concerns a missing credit after a return. The response should inspect the actual refund transaction and applicable commitment, even though the headline label is general. The worksheet prevents staff from choosing evidence based on the broad label alone.
Build a focused response or escalate the missing claim
Once the disputed fact is clear, write a short narrative identifying the transaction, allegation, relevant record, and supported conclusion. Include only necessary context. A reviewer should not have to infer the issue from a large collection of receipts, policies, and shipping screenshots.
If several distinct allegations remain, address each in a concise comparison rather than blending them into a vague defense of the store. Note any supported part of the customer’s claim and any completed correction. Do not hide a relevant refund promise because another part of the order was fulfilled correctly.
If clarification does not arrive before the merchant must act, use the actual provider’s guidance for the available route. Do not invent a claim or assume silence creates an extension. Record what information was requested and what the response is based on.
Where a supported and permitted response exists, submit through Shopify or the provider and verify status. Where the records support the claim or the process offers no standard contest route, take the appropriate resolution action. The useful outcome is a clearly defined dispute question and a truthful response to it, rather than a generic packet built around an ambiguous label.
